Item description
We are looking for a full time office receptionist for our security company who has experience to perform the ff duties:
•Answering phone calls on switchboard
•Complete deposit book to make deposits of cheques to Bank
•Enter any outgoing mail into a Spread sheet to keep track of documents delivered to various parties
•Follow up on outgoing mail due to be returned to us (eg) where documents need to be signed and returned
•Handle incoming and outgoing faxes
•Open client files (correspondence, balance sheets, tax etc.) periodically
•Order office stationery
•File various client documents received at our office (bank statements, investment documents etc.)
•Make various copies / scans of documents required from time to time (often for FICA requirements where we hold company information on behalf of our clients)
•Schedule meetings and update calendars
•Type various letters to clients in respect of tax assessments, provisional tax, management reports (for audits performed) to clients - hence the requirement to have a good knowledge of MS Word (setup of documents, formatting etc)
•Oversee clients / third parties reporting to Reception
•Ensure that the Boardroom is clean and ready for meetings
•Various other requirements from staff from time to time
•Handling petty cash
•Data capturing of client's books and records
